Halo Booths Booking Terms & Conditions

1. Booking & Deposit

  • A non-refundable booking fee of $250 is required to secure your event date.

  • No booking is confirmed until the deposit has been received.

  • The remaining balance is due 14 days before the event unless otherwise agreed in writing.

  • Bookings made within 14 days of the event require full payment at the time of booking.

2. Payment

  • Payments can be made via bank transfer or any other payment method advised by Halo Booths.

  • Late payments may result in cancellation of the booking without refund of the deposit.

3. Cancellation & Rescheduling

Cancellation by Client

  • The booking deposit is non-refundable.

  • If cancelled within 14 days of the event, all monies paid are non-refundable unless Halo Booths is able to rebook the date.

Rescheduling

  • One complimentary date change is permitted if requested at least 30 days before the event, subject to availability.

  • Additional date changes may incur an administration fee.

4. Event Access

The client agrees to provide:

  • Safe and unobstructed access to the venue.

  • A suitable flat operating area.

  • Shelter from rain and excessive wind for outdoor events.

  • Access to standard 240V power within 10 metres

If the booths cannot safely operate due to venue conditions, weather, or safety concerns, no refund will be provided.

5. Equipment Care

The client accepts responsibility for ensuring guests use the equipment appropriately.

The client may be liable for repair or replacement costs resulting from:

  • Deliberate damage

  • Theft

  • Negligence

  • Misuse of equipment by guests

Normal wear and tear is excluded.

6. Booths Operation

  • Halo Booths includes an attendant where specified in your package.

  • We reserve the right to temporarily suspend operation if guest behaviour becomes unsafe, abusive, or poses a risk to people or equipment.

  • Lost operating time due to unsafe behaviour will not be refunded.

7. Photo Quality

Image quality may be affected by:

  • Venue lighting

  • Weather conditions

  • Space limitations

  • Guest cooperation

Halo Booths will make every reasonable effort to provide high-quality photographs.

8. Digital Gallery

Where included:

  • An online gallery will normally be delivered within 72 hours of the event.

  • Download links remain active for 1 months.

  • Clients are encouraged to download and back up their images promptly.

9. Printing

If unlimited prints are included:

  • Prints are available only during the booked operating hours.

  • Printing may be temporarily delayed due to paper or ribbon replacement.

  • Halo Booths carries spare consumables to minimise interruptions.

10. Force Majeure

Halo Booths is not liable for failure to perform due to circumstances beyond our reasonable control, including but not limited to:

  • Severe weather

  • Natural disasters

  • Power outages

  • Road closures

  • Government restrictions

  • Venue closure

  • Illness or emergencies

Where possible, an alternative date or reasonable solution will be offered.

11. Limitation of Liability

To the maximum extent permitted by New Zealand law:

  • Halo Booths liability is limited to the total amount paid by the client.

  • We are not liable for indirect or consequential losses.

Nothing in these Terms excludes rights under the Consumer Guarantees Act 1993 or the Fair Trading Act 1986 where applicable.

12. Use of Images

Unless the client requests otherwise in writing before the event, Halo Booths may use selected images for:

  • Social media

  • Website portfolio

  • Marketing and promotional material

13. Privacy

Personal information collected during the booking process will only be used to:

  • Manage your booking

  • Communicate with you

  • Deliver your services

Your information will not be sold or shared with third parties except where required to provide the service or by law.

14. Client Responsibility

The client is responsible for:

  • Obtaining any venue permissions required.

  • Ensuring adequate space for setup and operation.

  • Informing Halo Booths of any venue restrictions before the event.

15. Setup & Pack Down

Halo Booths requires approximately:

  • 45–60 minutes for setup

  • 30–45 minutes for pack down

Access to the venue during these times must be available.

16. Agreement

By paying the booking fee or signing the booking form, the client confirms that they:

  • Have read these Terms & Conditions.

  • Agree to be bound by them.

  • Are authorised to make the booking.
